Performing a mass update
To do a mass update, follow these steps:
1. In the main toolbar at the top of the screen, click
Company Mass Update.
The Update Companies Utility window is displayed
2. In the Search tabs pane in the upper left, enter restrictions to limit the list of company records.

3. To see a list of the companies that match your restrictions, click
Find.
The list is shown in the
Search Results pane.

4. To enlarge the viewing area so you can see more columns for the retrieved rows, click Maximize.
The view widens and the name of the Maximize button changes to Minimize.

To return the view to its original size, click Minimize.
5. Do one of the following:
• In the Search Results pane, select the Include check box for each company record that is to be updated.

• To select all records, right-click on the grid and select Select All Rows from the shortcut menu that appears.
As each company is selected, the system displays it in the Pending Companies to Change pane in the lower right of the window.

Note: If you want to clear all of the selections you have made, right-click on the grid and select Deselect All Rows from the shortcut menu that appears.
6. If you want to enlarge the viewing area so you can see more columns for the retrieved rows, in the Pending Companies to Change pane, click Maximize.
The view widens and the name of the Maximize button changes to Minimize.

To return the view to its original size, click Minimize.
7. In the Mass Update Parameters pane, make entries in each field for which an update is needed.
Field definitions
Rev Type1 - Rev Type 4 | Choose the revenue classifications that your business uses to track revenue collected for loads associated with the selected companies. Note: The names and options for these fields are user-defined; setup occurs in the Revenue Type 1-4 labels in the System Administration application. |
CRM Type | Select the CRM Type that applies for the companies you have selected. The types listed below are the defaults for CRMRight: • Customer A Bill To company with which you have an established working relationship, e.g., you can book and dispatch orders for it. A credit limit must be recorded in the company's profile before you can assign this CRM Type. The mass update process will fail if the credit limit has not been entered for any company you have selected. For details, see What you should know before doing a mass update. • Lead A company with which you have a possible business opportunity, but contact has not yet been made, or is minimal to date. • New Customer A new Bill To company for which you are booking orders. To encourage a successful working relationship, you may want to set up special tasks in CRMRight for such customers. A credit limit must be recorded in the company's profile before you can assign this CRM Type. The mass update process will fail if the credit limit has not been entered for any company you have selected. For details, see What you should know before doing a mass update. • Prospect A company that is a qualified lead. It has expressed interest in doing business with you, but a formal relationship with you does not yet exist. • Pending Credit A Bill To company that does not yet have an established credit history. Your ability to book loads for them is limited. Note: Options for this field are defined in the CRMType label in the System Administration application. |
Booking | Select the booking terminal or Customer Service Representative to which the company accounts belong. |
Div/Parent Of | If the selected companies are children of a Parent company, enter the ID of the Parent. |
Other Type1 - Other Type 2 | Select the company classifications that apply to the companies you have selected. Note: Options for these fields are defined in the OtherType1 - 2 labels in the System Administration application. |
Default BillTo | If a specific Bill To company is to be billed for orders placed by the selected companies, enter the ID of that Bill To. |
Notes:
1. As you make entries, the system highlights them in yellow. Those projected changes also are shown in yellow for each company in the Pending Companies to Change pane.

2. If you are attempting to update companies'
CRM Type to
Customer or
New Customer, you will not be able to do so if credit limits have not been recorded in one or more company profiles. When this situation exists, the
Update button turns red. For each company without a credit limit, the system displays a red indicator in the Pending Companies to Change pane. For details, see

8. Review the entries in the Mass Update Parameters pane to make sure they are accurate.
If you change your mind about any of them, reset values to blanks by using one of the Clear buttons:
• To reset a single field, click
Clear to the right of the field.
• To reset all fields, click Clear All located to the left of the Update button.

9. If you are sure that all the entries in the Mass Update Parameters pane are correct, click Update.
The system displays a message asking you to confirm your intent to do the mass update.

10. Click Yes.
The system displays a message indicating that the update was successful.

11. Click OK.
All panes redisplay without data.

12. Do one of the following:
• If needed, repeat the mass update process for other companies and values.
• Click
Close in the Mass Update Parameters pane, or click
Close above the
Search tab pane.
