Setting up a line item rate
The process of applying secondary rates is useful for accessorials that are always applicable for a particular line haul rate. However, it does not address calculation of pay for accessorials that must be applied on an “as needed” basis. For example, suppose a driver was detained for two hours for an unload, or suppose a weekend layover was needed. Since accessorials for detention time or a weekend layover are not applicable every time a trip is run, you would not want to set up secondary rates for such pay items and attach them to a primary rate.
You can set up line item rates for accessorials that are not always applied. Such rates are called “line item” rates because they are applied only when accessorial pay details, i.e., line items, are manually added. Line item rates are never linked to a primary rate.
Prior to setting up a line item rate, you need to set up a pay type that has an entry of Ancillary in the Basis field. For example:
Note: Do not record a default dollar amount for the pay type. This is because the pay amount will be specified in the line item pay rate itself.
Once your pay type is established, you can create a line item pay rate. To indicate that a rate schedule is a line item rate, select the Line Item option in the Type field located at the top of the rate index section of the Edit Settlement Rate Schedule Folder.
A line item pay rate is established in the same manner as a primary or secondary pay rate. A line item rate consists of a rate header and a rate index; if multiple pay amounts are needed, it will also have a rate table.
Shown here is an example of how a line item rate might be set up for detention pay:
