Recording a note
To add a note for a rate, follow these steps:
1. Look up the rate for which a note is needed.
Note: The note indicator is grey before a note is attached to the rate.

2. Click the Notes indicator located in the lookup tab area, or go to Edit > Notes.
The Notes window is displayed.
3. Click the Add button. A blank line is displayed.
Note: Not all fields in the Notes window will be visible when you open it. Move the horizontal scroll bar in the middle of the window to the right to view additional fields.
4. Make entries in the following fields:

The system automatically displays Rate in this read-only field.
Key
The system automatically displays the rate ID in this read-only field.
Copied From
This read-only field will be blank. It does not apply to rates.
Order #
This read-only field will be blank. It does not apply to rates.
Text
Enter free-form comments. You may enter up to 256 characters, but only 68 characters can display in the text box at one time.
 
Regarding
In other applications, this field is used for filtering notes according to a specific note type. However, none of the note filters listed for the field apply to Rate Schedules. Therefore, leave it set to NONE.
Note: If you make a selection other than NONE, notes for rates will not be visible later.
Seq
The system will automatically assign a number in this field. You can change this to any number from 0 to 9999.
Notes:
1. The system will assign the number 1 to the first note, 2 to the second, and will increment all subsequent numbers by one.
2. Higher-numbered notes display first in the Notes window. Since sequence numbers increase with each new note, by default newer notes display at the top of the window.
3. You may assign the same sequence number to more than one note. If more than one note has the same number, the note that was added most recently displays at the top of the window.
Note Level
To specify an internal classification for the note, select an option in the drop-down list for this field.
Note: This classification is strictly informational – it is not used by the system for any purpose.

Alert/Note
Use the drop-down list to specify the importance of your note. The options are:
Note
The note is informational, but not of critical importance.
Alert
The note is of critical importance.
The ranking determines how the system displays the note indicator on screens associated with your note. For notes ranked as Note, a yellow indicator will display. For notes ranked as Alert, a red indicator will display.
 
Note Expires
Enter the date and time the note is to expire, if applicable.
Note: Once the expiration date has passed, the note’s presence will no longer cause the note indicator to show in a color other than gray. However, by default the expired note continues to display in the Notes window.
 
Updated By
This read-only field shows the user ID of the user who last updated the note.
Last Updated
This read-only field shows the date and time the note was last updated.
Copied From Table
This read-only field will be blank. It does not apply to rates.
 
5. Click Save to save the note.
6. Click Close to exit the Notes window.
Notice that the notes indicator on the tab area of the rate has changed color to reflect the importance of the note:
Yellow – The note is informational, but not of critical importance.
Note: If an alert was attached previously to the rate, the color will be red due to its presence.
Red – The note is of critical importance, not merely informational.
