How should I set the Fleet Sync Interval?

  • Sync intervals are scans set in CoPilot to call Account Manager for updates. Additionally, CoPilot scans for updates at every navigation start up. Best practice is to determine the longest period of time during the day that the vehicle is going to be turned ON and CoPilot is actively running on the device.

Local delivery is typically set to 1 hour and long haul fleets are set to 6 hours. This ensures that CoPilot will check at least once during the day in addition to startup.

How should I set the out-of-route threshold?

Set the out-of-route (OoR) threshold to the distance at which you want to be notified via email that a driver is out-of-route. CoPilot will start tracking OoR GPS readings every 2 minutes until the driver rejoins the planned route.

  • For long haul trucking with many stops (non-planned fuel/rest stops), we recommend that you set the threshold to 1 mile or greater, as the non-planned stops in such routes could be longer.

  • For local delivery or hazmat loads, we recommend 0.2 miles to 0.5 miles, as 0.1 miles is roughly one city block.

How should I name Vehicle Routing Profiles?

A driver can view the vehicle profile name directly within the CoPilot application. It is recommended that the vehicle profiles are assigned unique names so that drivers can easily select the appropriate one if they have multiple routing profiles on their device.

The vehicle profile name could be indicative of the vehicle dimensions or restrictions applicable when they choose that profile. For example, names can be 53ft 102in 13ft 6in, or 45ft tanker 12ft Haz - Caustic, or 53ft non-haz, etc.

Do not use the ampersand (&) character in a profile name as it can be misread by CoPilot’s URL launch feature.

Routing Profile Creation & Editing by Drivers

Best practices are to create the approved Routing Profiles in Account Manager and to not allow driver creation or editing to ensure drivers are compliant with prescribed rules and regulations.

Force Routing Profile Selection

Best practice is to leave the default setting of Force Routing Profile Selection to ON. This ensures that drivers are always prompted to select a routing profile when they start CoPilot. This is especially important for fleets with multiple vehicle types and profiles. When creating profiles, it is important to ensure that the profile names are descriptive enough for drivers to understand them easily.
