The Resources > Trailers Window

To add trailers or view existing trailers in the TotalMail system, select Trailers from the list of folders in the main window.

Currently available trailers display in the resource area of the Contents pane.

How to add or modify a trailer

Add a new trailer

  • Select New.
    or

  • Select Add Trailer.

The Trailer Properties window displays. The Quick View folder is selected. The content pane shows dispatch groups and mobile communications units.

Modify a trailer

  1. Select the trailer in the resource area.

  2. Select Properties.
    The Trailer Properties window displays. The Quick View folder is selected by default. The content pane shows dispatch groups and mobile communications units.

These appear in the identification section at the top of all folders in the Trailer Properties window:

Trailer Name Enter a unique ID for the new truck. Enter up to 31 letters and numbers. Dispatch System Trailer ID The TMWSuite Trailer ID for the new trailer. You can enter up to 14 alphanumeric characters.

Use the Trailer Properties window

This section summarizes the features available in the folders of the Trailer Properties window.

Quick View

The Quick View folder is used to view and change the dispatch group and mobile communications units associated with the trailer. The content pane of the Quick View folder is divided into two sections. The upper section displays an area for the trailer’s dispatch group, and the bottom section displays an area for the trailer’s mobile communications units. Both areas function exactly like their respective folders in this window.

Dispatch Groups

The Dispatch Groups folder is used to select the dispatch group to which the trailer belongs. The trailer’s current dispatch group is selected in the resource area. To display only the selected group, select the Show selected only checkbox. To change the driver’s dispatch group, select the checkbox next to the dispatch group.

To add a dispatch group

  • Select New or Add Group.

To view or modify a dispatch group

  • Select Properties. These actions display the Dispatch Group Properties window.

  • Each trailer can belong to only one dispatch group.

  • Because a driver can belong to only one dispatch group, the Select and Deselect features are not available.

Mobile Comm Units

The Mobile Comm Units folder is used to select the MCTs assigned to the trailer.

Each trailer can be assigned to several mobile communications units.

The trailer’s current MCT is selected in the resource area.

  • To display only the trailer’s assigned MCTs, select Show assigned only.

  • To display only MCTs not assigned to any truck or trailer, select Unused only.

Use Select and Deselect to change the trailer’s assigned MCTs.

If more than one MCT has been assigned to a trailer, highlight the trailer’s default MCT and select Make Default.

To add an MCT

  • Select New or Add Unit.

To view or modify an MCT

  • Select Properties.

These actions display the Mobile Communications Units Properties window.

Settings

The Contents pane in the Settings folder of the Trailer Properties window contains these checkboxes:

  • Trailer is retired Select this to retire the trailer.

  • Keep trailer message history Keep a copy of all messages sent by the trailer.

  • Use in address resolution This checkbox is selected by default. Do not clear it.

Drivers

To add drivers or view existing drivers in the TotalMail system, select the Drivers folder in the folder list of the TotalMail 2000 Configuration Utility main window. Available drivers display in the resource area of the content pane.

To add a new driver, do one of these:

  • Select New.
    or

  • Select Add Driver.

To modify an existing driver

  1. Select the driver ID in the resource area.

  2. Select Properties.

When you create a new driver or modify an existing driver, the Driver Properties window displays. The default folder that is selected in the folder list when the window is opened depends on the current TotalMail 2000 Configuration:

  • If the system is configured for truck-based addressing, the Assigned Truck folder is selected in the folder list by default.

  • If the system is configured for driver-based addressing, the Quick View folder is selected in the folder list by default.

These fields appear in the identification section at the top of all folders in the Driver Properties window:

  • Driver Name Enter a unique ID for the driver. You can enter up to 31 alphanumeric characters.

  • Dispatch System Driver ID The TMWSuite Driver ID for the driver. You can enter up to 14 alphanumeric characters.

Dispatch Group

The Dispatch Group folder is used to select the dispatch group to which the driver belongs.

The driver’s current dispatch group is selected in the resource area. To display only the selected group, select the Show selected only checkbox. To change the driver’s dispatch group, select the checkbox next to the dispatch group.

  • To add a dispatch group, select New or Add Group.

  • To view or modify a dispatch group, select Properties.

These actions display in the Dispatch Group Properties window.

The Dispatch Group folder is available in the Driver Properties window only if TotalMail is set up for driver-based addressing.

  • Each driver can belong to only one dispatch group.

  • Because a driver can belong to only one dispatch group, Select and Deselect are not available in this folder.

Assigned Truck

The Assigned Truck folder is used to select the driver’s assigned truck.

The driver’s current assigned truck is selected in the resource area.

  • To display only the assigned truck, select Show assigned only.

  • To show only trucks not currently assigned to a driver, select Unused only.

  • To change the driver’s assigned truck, select the checkbox next to the truck.

  • To add a truck, select New or Add Group.

  • To view or modify a truck, select Properties.

These actions display the Truck Properties window.

  • Each driver can be assigned to only one truck.

  • Select and Deselect are not available in the Assigned Truck folder.

Email

Settings in the Email folder link the driver to an account on an SMTP or POP3 email system. This link allows the driver to receive internet email.

The content pane in the Settings folder contains these boxes:

  • Driver is retired Retire the driver.

  • Keep driver message history Keep a copy of all messages sent by the driver.

  • Use in address resolution This checkbox is selected by default, and must not be cleared.
