Manage resources in the TotalMail 2000 Configuration Utility

You can manage resources in the TotalMail® Configuration utility. The folders in the Resources category allow you to add and modify most TotalMail resources. This section covers managing these resources:

  • Logins

  • Drivers

  • Trucks

  • Trailers

  • MCTs

You can also manage resources, except MCTs, using the TMWSuite® application.

Navigate the TotalMail 2000 Configuration utility windows

The appearance of the TotalMail 2000 Configuration utility may change significantly depending on the task you are performing. The following sections describe all features available in the different TotalMail 2000 Configuration utility windows.

Using the main TotalMail 2000 Configuration window

The main window of the TotalMail 2000 Configuration utility has these sections.

  • The left section contains the folder list.

  • The right section displays the content pane for the folder now selected in the folder list.

  • Database information displays directly under the folder list.

  • Buttons in a bar at the bottom of the window let you hide the folder list, save changes to the content pane, move between folders, and close the TotalMail 2000 Configuration utility.

By default, the General folder is selected in the folder list when you open the TotalMail 2000 Configuration utility.

The folder list

The TotalMail 2000 Configuration utility organizes options into folders. For example, passwords are maintained in the Security folder. Folders are also organized into categories. The Security folder and other folders appear in the Options category. The available categories are:

  • Options

  • Resources

  • Groups

  • Other

If you don’t see any folders under a category, select the plus sign (+) to the left of the category or double-click the category name to display the folders. The plus sign is replaced by a minus sign (-).

To display the contents of a folder, select the folder in the folder list.

The contents pane

TotalMail 2000 Configuration settings are entered and modified in the content pane of the TotalMail 2000 Configuration utility. The fields, buttons, and icons available in the content pane will vary depending on the folder that you selected.

Database information

Your current database connection information displays immediately under the folder list.

The button bar

The buttons on the button bar are the same for all folders:

  • Hide Folder List This hides the folder list to allow room for the content pane to fill the entire screen. After you select this button, it changes to Show Folder List. Select Show Folder List to return to the initial view with the list of folders and content area.

  • List Saves changes made in the content pane. This is not available if you made no change since selecting Apply.

  • Go back This takes you to the folder you were in before this one. This button is not available until you select at least two folders in the list.

  • Go forward If you Selected Go back, Select Go forward to return to the folder you started in. This is not available until you Select Go back.

  • Close Closes the TotalMail 2000 Configuration utility.

Use Resources and Groups folder windows

Folders in Resources and Groups look and work differently than other folders. These folders have:

  • An icon bar at the top.

  • A title bar under the icon bar.

  • an area in the middle.

  • A button bar at the bottom.

  • If you Select Additional Information Section, a section appears on the right side of the window.

More sections of the content pane open if you select Filter or Find.

Icon bar features

Actions available in the icon bar, from left to right, are as follows.

  • New This opens the properties window for a new resource or group. The resource or group that is added depends on the current selection in the folder list. This icon works like the Add button.

  • Properties This opens the properties window for the now selected resource. It isn’t available if nothing is selected. This works like the Properties button.

  • Copy Select a resource or group, then select Copy. The Properties window for the selected resource or group opens. Configurations entered for that resource or group copy to the Properties window of the new resource. This is unavailable if nothing is selected.

  • Refresh This updates the area.

  • Print This opens the Print window. You can print the area.

  • Delete This deletes the current selection.

If you delete TotalMail resources, it may affect other resources. To remove a resource from TotalMail, retire the resource.
  • Goto Truck If a resource is selected and it is associated with a truck, this opens the Trucks folder and selects the associated truck.

    • This is available in the Drivers and Truck Mobile Units folders.

    • If the selected resource is not associated with a truck, an error message displays.

  • Goto Driver If a truck is selected in the Truck folder grid and that truck is associated with a driver, then this button opens the Drivers folder and selects the associated driver.

    • This icon is available in the Trucks folder.

    • If the selected truck is not associated with a driver, an error displays.

  • Goto Trailer If an MCT is selected in the Trailer Mobile Units grid, and the selected MCT is associated with a trailer, this button opens the Trailers folder and shows this trailer.

    • This is available in the Trailer Mobile Units folder.

    • If the selected MCT is not associated with any trailer, an error message displays.

  • Goto Login If a resource is selected, and the selected resource is associated with a login ID, this button opens the Logins folder and selects the associated login ID.
    Note: If the selected resource is not associated with a login ID, an error displays.

  • Goto Dispatch Group If a resource is selected and it is a member of a dispatch group, this button opens the Dispatch folder for that dispatch group.

    • This icon is available in the Trucks, Trailers, and Drivers folders.

    • If the selected resource is not associated with a dispatch group, an error displays.

  • Goto mobile communication unit The function of this icon depends on the current selection:

    • If a truck is selected and it is associated with an MCT, this icon opens the Truck Mobile Units folder and selects the MCT for the truck.

    • If a trailer is selected and it is associated with an MCT, this icon opens the Trailer Mobile Units folder and selects the MCT for the trailer.

    • This icon is available in the Trucks and Trailers folders.

    • If the selected resource is not associated with an MCT, an error displays.

  • Preferences Opens the Preferences window for the current folder. The preferences window allows you to control the appearance of the content pane of that folder.

  • Show Filter Displays the filter bar at the top of the area.

    • When this button is selected, the filter bar displays in all folders in the Resources and Groups categories.

    • When the filter bar displays, selecting this button hides the filter bar.

  • Show Find Displays the find bar at the bottom of the area.

    • When this button is selected, the find bar displays in all folders in the Resources and Groups categories.

    • When the find bar displays, selecting this button hides the find bar.

  • Additional Information Section Displays the additional information section on the right side of the content pane.

    • When this button is selected, the additional information section displays for all folders in the Resources and Groups categories.

    • When the additional information section displays, selecting this button hides the additional information section.

  • Preferences Opens the Preferences window for the selected folder. This window allows you to control the appearance of the content pane of that folder.

Title bar

The left side of the title bar displays the name of the resource or group now highlighted. The right side of the title bar displays the name of the folder now selected in the folder list.

Work Area

The work area displays the entities now configured for each resource or group folder. Columns in the grid display information about each entity. Different columns display for each folder’s area.

Button bar

Although button labels are different for each resource and group folder, the buttons on the button bar function the same way for all folders.

  • Delete The label for the Delete button changes for each resource and group folder. For example, the button label is Delete Login for the Login folder, Delete Truck in the Trucks folder, and so on. Select the Delete button to delete the resource you selected.

    Note:

    • This button only appears when something is selected.

You should not delete TotalMail resources because this may affect other resources. To remove a resource from TotalMail, retire the resource.
  • Add The label for the Add button is slightly different for each resource folder. Select this to add a resource to the selected resource folder.

  • Properties Select to display the Properties window for the resource or group selected.

    Note: This button is available when you select something.

  • Filter Select to display the filter bar.

    • When you select the filter button, the filter bar displays only in the selected folder.

    • When the filter bar displays, selecting this button hides the filter bar.

  • Find Select to display the find bar.

    • When you select Find, the find bar displays in the selected folder.

    • When the find bar displays, selecting this hides the find bar.

Using filters

To limit the number of resources displayed in any area, you can apply a filter to the grid. Create these in the filter bar, which displays above the area when you Select Filter.

When you Select Filter in the icon bar, the filter bar displays in all folders in the Resources and Groups categories.

When you Select Filter in the button bar, the filter bar display onlys in the current folder.

Each filter can be applied to only one area. So, a filter created for the area in the Drivers folder is not available for the area in other resources.

Add a filter

To add a filter to the area:

  1. If the filter bar is not displayed, Select Filter.

  2. Right-click in the filter bar to display a menu.

  3. From the menu, select New. The Filter Properties window displays:

  4. In the Name field, enter a name for the new filter.

  5. Use the fields in the Filter Properties window to create the rules for your filter.

    Note: It is beyond the scope of this document to provide a guide to filter rules. If you need help creating a filter rule, contact Trimble support.

  6. Select Do not warn when active if you do not want a FILTER ACTIVE message to display in the button bar.

    Note: If Do not warn when active is not selected for a filter, and that filter is applied to an area when the filter bar is not displayed, the FILTER ACTIVE message displays in the button bar.

  7. When you have created your filter, Select Add.

Enable or disable a filter

All filters created for an area display in the filter bar. By default, a filter is enabled and active as soon as it is created. The color of the filter indicates its current status:

  • Enabled (active) filters are displayed in blue.

  • Disabled (inactive) filters are displayed in black.

To change a filter status, right-click the filter. Disabled filters will have an Enable command in the menu, while enabled filters will have a Disable command.

Modify or delete a filter

To modify or delete a filter, right-click the filter.

  • The Delete command in the menu deletes the filter.

  • The Properties command displays the Filter Properties window for the filter. After making changes to the Filter Properties window, Select Apply to save your changes.

Finding resources

To quickly locate a resource or group based on its properties, such as name, associated MCT, or dispatch group membership, use the find bar in the resource area. The bar displays beneath the area when you Select Find.

When you Select Find in the icon bar, the find bar displays in all folders in the Resources and Groups categories. When you Select Find in the button bar, the find bar displays only in the current folder.

The find bar consists of a drop-down list, text field, checkbox, and two buttons. To locate a resource using the find bar:

  1. If the find bar is not displayed beneath the area, Select Find.

  2. In the drop-down list at the far left of the find bar, select the property field to be used in the search criteria.

    Note: The available selections in this list vary depending on the area.

  3. In the text field to the right of the drop-down list, enter the text to be used in the search criteria.

  4. By default, the system searches text only at the beginning of property fields. If you select Name for the resource property and enter Test in the text field, the system would not find a resource named Test. To have the system search any part of property fields, select the Find anywhere in text checkbox.

  5. Select Find. The system displays the first resource it finds that meets the entered search criteria.

  6. To have the system search for another matching resource, Select Find Next.

Using Properties windows

When you add or modify an entry in any folder of the Resources and Groups categories, the Properties window for your selection displays. The layout of the Properties window is similar for all resources and groups.

  • An identification section at the top of each Properties window contains fields that identify the resource or group within TotalMail.

  • Beneath the identification section, each Properties window contains a folder list on the left.

  • Many folders in the Properties window display an icon bar to the right of the folder list. Each folder displays a content pane on the right. The fields, buttons, and icons available in the content pane vary depending on the selected folder.

  • An optional find bar can be displayed for all folders above the resource bar and button bar at the bottom of the content pane.

  • Folder list The available folders in the folder list depend on the resource or group selected. For more information on the folders available for a specific resource or group’s Properties window, see the appropriate section for that resource or group.

  • Icon bar Some folders in the Properties window display an icon bar to the right of the folder list. All possible icons are described below. Some icons do not appear in all icon bars, other icons appear unavailable.

    • New Opens the properties window for a new resource or group. This icon works like the Add button.

    • Properties Opens the properties window for the selected resource or group.

      • This icon is unavailable if nothing is selected.

      • This icon works like the Properties button.

    • Refresh Refreshes the area.

    • Print Opens the Print window. You can print the area.

    • Preferences Opens the Preferences window for the selected folder. The preferences window allows you to control the appearance of the content pane of that folder.

    • Show Find Displays the find bar.

    • Select Selects the resource or group highlighted.

      • This works like the Select button.

      • Selecting this icon has no effect if the highlighted resource or group has already been selected.

    • Deselect Deselects the highlighted resource or group.

      • This works like the Deselect button.

      • Selecting this icon has no effect if the highlighted resource or group was not already selected.

  • content pane The fields, buttons, and icons available in the Properties content pane vary depending on the folder selected in the folder list. Some content panes display configuration options; others display an area. For more information on the content pane for a specific resource or group’s Properties window, see the appropriate section for that resource or group.

  • Find bar The find bar allows you to quickly locate a resource or group based on its properties, such as name, associated MCT, or dispatch group membership. Note: The find bar displays only if you Selected Find.

  • Resource bar If the content pane of a Properties window displays an area, the resource bar appears beneath the grid. All possible buttons in the resource bar are described below. Some buttons may not appear in your resource bar, or they may be unavailable.

    Buttons in the Resource bar Description

    Show selected only, Show assigned only, or Show monitored only

    The label for the checkbox on the far left side of the resource bar depends on the resource grid. Selecting this checkbox to display only selected resources or groups.

    Unused only

    Show only resources or groups that have not been selected, assigned, or chosen to monitor another resource.

    Find selected

    Highlight and display the next resource or group selected.

    Select

    Select the highlighted resource or group.

    Deselect

    Deselect the highlighted resource or group.

    Make Default

    This is only available for MCT areas. If you select more than one MCT for a truck or trailer, you must define which one is the default MCT that TotalMail will use for sending messages. Select this button to make the MCT highlighted the default for the truck or trailer.

    Add

    Display the Properties window for creating a new resource or group.

    Properties

    Display the Properties window for the selected resource or group.

    Find

    Display the find bar.

  • Button bar The buttons on the button bar remain the same for all folders in all Properties windows.

    Hide Folder List

    Hides the folder list. The content pane will expand to fill the entire window. Note: When this button is selected, it changes to Show Folder List. Select to display the folder list.

    Apply

    Save any changes made to the Properties window without closing the window.

    OK

    Save any changes made to the Properties window and close the window.

    Cancel

    Close the Properties window without saving any changes.
