Trailer Mobile Units

Although trailers cannot receive text or form messages, they can submit position reports and receive position report requests. Mobile communications vendors cannot directly reference trailers by their TotalMail IDs. Vendors work exclusively with mobile communication unit (MCT) numbers, which can be linked to trailer IDs in the TotalMail 2000 Configuration utility. To add a new trailer MCT number or view existing trailer MCT numbers in the TotalMail system, select the Trailer Mobile Units folder in the folder list of the TotalMail 2000 Configuration utility main window. Currently defined trailer MCT numbers display in the resource area of the content pane.

Add or modify trailer mobile units

To add a new trailer MCT number:

  1. Do one of these:

    • Select New.
      or

    • Select Add Unit.

  2. Locate the Unit ID field at the top of the TotalMail Mobile Communication Unit Properties window.

  3. Enter a unique number for the MCT in the Unit ID field. You can enter up to 31 alphanumeric characters.

To modify an existing trailer MCT number

  1. Select the trailer’s MCT number in the resource area.

  2. Select Properties.

  3. Locate the Unit ID field at the top of the TotalMail Mobile Communication Unit Properties window.

  4. Enter a unique number for the MCT in the Unit ID field. You can enter up to 31 alphanumeric characters.

Use the Trailer Mobile Communication Unit Properties window

This section summarizes the features available in the folders of the Trailer Mobile Communication Unit Properties window.

The Quick View folder

Use the Quick View folder to select the mobile communication vendor and trailer associated with the MCT.

The window for the Quick View folder has two sections.

  • The top shows an area for the MCT’s mobile communication vendor.

  • The bottom shows an area for the trailer associated with the MCT. Both areas function exactly like their respective folders in this window.

The Mobile Comm Type folder

Use the Mobile Comm Type folder select the mobile communication vendor for the MCT.

You will rarely need to change an MCT’s vendor after the MCT has been entered in TotalMail.

The MCT’s current mobile communication vendor is selected in the resource area. To display only the selected vendor, select the Show selected only checkbox. To change the MCT’s mobile communication vendor, select the checkbox next to the *Read*vendor in the resource area.

The Assigned Trailer folder

Use the Assigned Trailer folder to select the trailer associated with the MCT.

The MCT’s currently assigned trailer is selected in the resource area.

  • To display only the assigned trailer, select the Show selected only checkbox.

  • To show only those trailers not currently assigned to any MCT, select the Unused only checkbox.

  • To change the MCT’s assigned trailer, select the checkbox next to the trailer.

  • To add a trailer, Select New or Add Group.

  • To view or modify a trailer, select Properties.

These actions will open the Trailer Properties window.

  • An MCT can be assigned to only one trailer.

  • The Select and Deselect options are not available in this folder.

The Settings folder

The content pane in the Settings folder contains these checkboxes. Mobile Communication Unit is retired Retire the MCT. Use in address resolution The checkbox is not selected by default, and should not be selected.

Manage dispatch and member groups in the Groups category

The folders in the Groups category allow you to add and modify TotalMail dispatch groups and member groups.

Dispatch groups

For dispatchers to best monitor the movements and activities of their trucks and drivers, TotalMail organizes resources into dispatch groups. One or more dispatchers are assigned to send and receive messages from these trucks using the TotalMail 2000 Viewer application. You create a new dispatch group by assigning trucks to it and dispatchers to monitor it.

To add a new dispatch group or view existing dispatch groups in the TotalMail system, select the Dispatch folder from the list on the TotalMail 2000 Configuration utility main window. Currently defined dispatch groups display in the resource area of the content pane.

Add or modify a dispatch group

To add a new dispatch group

  1. Do one of these:

    • Select New.
      or

    • Select Add Group.

  2. Locate the Group Name field at the top of the TotalMail Dispatch Group window.

  3. Enter a unique name for the group in the Group Name field. You can enter up to 31 alphanumeric characters.

To modify an existing dispatch group

  1. Select the dispatch group in the resource area.

  2. Select Properties.

  3. Locate the Group Name field at the top of the TotalMail Dispatch Group window.

  4. Enter a unique name for the group in the Group Name field. You can enter up to 31 alphanumeric characters.

Use the Dispatch Group Properties window

This section summarizes the features that you can use in the folders of the Dispatch Group Properties window.

The Quick View folder

Use the Quick View folder to select trucks, trailers, and login IDs that belong to a dispatch group.

The Quick View folder has two sections.

In the upper section, two options determine which resource area displays.

  • Select Trailer to display the trailer area.

  • The other button that you see depends on whether TotalMail is set to truck-based or driver-based addressing.

    • Select Truck to display the truck area.
      or

    • Select Driver to display the driver area.

The bottom section displays the login IDs assigned of dispatchers that monitor the dispatch group.

The areas in this folder work just like the grids in their respective folders in this window.

The Included Trucks folder

Use the Included Trucks folder to select trucks that belong to a dispatch group.

Several trucks can be included in each dispatch group.

Trucks already assigned to the dispatch group appear selected in the truck area.

  • To display only included trucks, select Show included only.

  • To display only trucks not currently assigned to any dispatch group, select Unused only.

  • To change the list of included trucks, use Select and Deselect.

To add a truck

  • Select New or Add Truck. The Truck Properties window appears.

To view or modify a truck

  • Select Properties. The Truck Properties window appears.

The Monitored Logins folder

Use the Monitored Logins folder to assign login IDs to monitor the dispatch group.

Each dispatch group can be monitored by several login IDs.

The login IDs already assigned to monitor the dispatch group appear selected.

  • To display only login IDs already assigned to monitor the dispatch group, select Show monitored only.

  • To change the login IDs assigned to monitor the dispatch group, use Select and Deselect.

To add a login ID

  • Select Add Login. The Login Properties window appears.

To view or modify a login ID

  • Select Properties. The Login Properties window appears.

The Included Trailers folder

Use the Included Trailers folder to select trailers for a dispatch group.

Several trailers can be included in each dispatch group.

The trailers already in the dispatch group appear selected.

  • To display only trailers already assigned to the dispatch group, select Show included only.

  • To display only trailers not assigned to any dispatch group, select Unused only.

  • To change the list of included trailers, use Select and Deselect.

  • To add a trailer, Select New or Add Trailer. The Trailer Properties window appears.

  • To view or modify a trailer, select Properties. The Trailer Properties window appears.

The Settings folder

The Settings folder contains two checkboxes.

  • Dispatch Group is retired Retire the dispatch group.

  • Use in address resolution selected This checkbox is not selected by default, and should not be selected.

Member groups

Some dispatcher messages must be sent to some or all of the fleet at once. For example, they may need to send a message to all drivers of refrigerated trailers. It takes a lot of time to send the same message to each truck. But, if they send that message to everyone in the fleet, your communications costs go up and messages clutter the inboxes of drivers to which the message does not apply.

For flexibility when a dispatcher sends messages, TotalMail allows you to define member groups in the Member folder of the TotalMail 2000 Configuration utility.

  • A group can be based on any criteria.

  • A group can contain one or many drivers.

To add a new member group

  • Select the Member folder in the folder list on the TotalMail 2000 Configuration utility main window. Currently-defined member groups display in the resource area of the content pane.

To view existing member groups

  • Select the Member folder in the folder list of the TotalMail 2000 Configuration utility main window. Currently-defined member groups display in the resource area of the content pane.

  • Due to Omnitracs standards, one group is automatically configured for the entire fleet.

  • Settings in the Groups folder of the TotalMail 2000 Configuration utility determine restrictions on member groups.

Add or modify a member group

To add a new member group, do one of these:

  • Select New.
    or

  • Select Add Group.

To modify a member group:

  1. Select the member group in the grid.

  2. Select Properties.

The Member Group Properties window displays. The Included Trucks folder is selected, and the content pane displays the truck area.

These fields appear in the identification section at the top of all folders in the Member Group Properties window:

  • Group Name Enter a unique name for the member group. You can enter up to 31 alphanumeric characters.

  • Group Type Select Fleet, MobileComm, or Non-Mobile Comm.

The different Group Types

Fleet

The fleet group includes every truck. When a message is sent to the fleet group, one message is sent to the mobile communications vendor. Only one fleet group can be created.

Currently, Omnitracs is the only mobile communications vendor that supports fleet groups.

Mobile Comm

When a message is sent to a Mobile Comm group, one message is delivered to the mobile communications vendor. The vendor sends that message to all members in the group.

Omnitracs is the only mobile communications vendor that supports Mobile Comm groups. Omnitracs limits each truck or driver to a maximum of three Mobile Comm groups. To change this, use the Max # of Mobile Comm Groups a truck can be in setting.

Non-Mobile Comm

When a message is sent to a Non-Mobile Comm group, multiple messages, one for each group member, are sent to the mobile communications vendor.

You can change the number of trucks that can belong in a Non-Mobile Comm group by changing the Max # of trucks in a Non-Mobile Comm Group setting.

The Member Group Properties window

This section summarizes the features available in the folders of the Member Group Properties window.

The Included Trucks folder

Use the Included Trucks folder to select trucks for a member group.

One or many trucks can be included in each member group.

The trucks in the member group are selected in the truck area.

  • To see only included trucks, select Show assigned only.

  • To see only trucks not currently assigned to a member group, select Unused only.

  • To change the list of included trucks, use Select and Deselect.

Add, view, or modify a truck

  • To add a truck, select New or Add Truck.

  • To view or modify a truck, select Properties.

Settings

The Settings folder has these options. * Group is retired Retire the member group. * Use in address resolution selected This checkbox is selected by default, and should not be unselected.

Access the Member folder using a restricted access password

If you open the TotalMail 2000 Configuration utility with the Full Configuration password, you can access all screens and functions available in the Member folder.

If you open the Configuration utility with a restricted access password, you have access to a limited set of screens and functions in the Member folder.

To ease TotalMail administration in your company, you can assign certain administrative tasks to individuals. Trimble suggests that you not provide these individuals with the Full Configuration password. Instead, provide one of the limited access passwords described in this section.

The Truck and Group Defs password

When you use the Truck and Group Defs password to access the Configuration utility, only the Trucks and Member folders are visible.

To open the Member Group Properties window, select the Read*member group and select *Properties.

The Non-Mobile Comm Group Defs password When you use the Non-Mobile Comm Group Defs password to access the Configuration utility, the folder list does not display. Currently available Non-Mobile Comm member groups display in the resource area. When using this password, you will not have access to any other folders in the Configuration utility.

To open the Member Group Properties window, select a member group in grid and Select Properties.

Use folders in the Other category

This section contains details about the folders in the Other category.

The Special Messages folder

Use the Special Messages folder to create messages that TotalMail will send to external systems, such as TMWSuite and mobile communications vendors. The special messages typically activate functions in the external system. Several messages are created by default when TotalMail is installed.

Most special messages do not display to TotalMail users.

View Special Messages

To view existing special messages, select Special Messages in the folder list on the main window. Special messages display in the content pane.

Functions at the bottom of the content pane:

  • Disable Msg Disables the selected message.

    If the highlighted message is disabled, the button changes to Enable Msg. Select this button to enable the highlighted message.
  • Add Msg Opens a blank Special Message Properties window. Use this to create a new special message.

  • Properties Opens the Special Message Properties window for the highlighted message.

Add or modify a special message

To add a new special message, do one of these:

  • Select New.
    or

  • Select Add Msg.

To modify a special message:

  1. Select the Special Message.

  2. Select Properties.

Use the Special Message Properties window

The Special Message Properties window has several sections. An identification section at the top of the window contains fields that identify the message. Beneath the identification section, the Properties window is divided into a folder list on the left and a content pane on the right. The fields, buttons, and icons available in the content pane will vary depending on the folder selected in the folder list. A button bar displays at the bottom of the window. When Special Message Properties opens, the Description folder is selected in the folder list by default.

The following buttons display in the button bar.

  • Hide Folder List This hides the folder list. The content pane expands to fill the window. When you select this button, it changes to Show Folder List. Select to display the folder list.

  • Add Save the new special message and close the Properties window. This button is only available when you are adding a new special message.

  • Apply Save your changes to the content pane without closing the Properties window.

  • OK Save your changes to the content pane and close the Properties window.

  • Cancel Close the Properties window without saving your changes.

The following sections summarize the features available in the folders of the Special Messages Properties window.

The Description folder

The content pane in the Description folder shows a description of the special message. The special message creator uses it to describe the systems affected by the special message and any effects the special message will have.

The Test folder

The content pane in the Test folder contains a button, Test. Select Test to test the special message. If the special message has no errors, you see, "Special message created".

The Settings folder

The Settings folder contains the Enabled box. All default special messages will have this checkbox selected. New special messages will have the checkbox selected by default. To disable a special message, clear the Enabled box.

The Short Cuts folder

The Short Cuts folder displays all keyboard shortcuts that can be used in the TotalMail 2000 Configuration utility. This list is for display only. You cannot edit it.

Retiring and deleting resources

Using the Configuration utility, you can delete any TotalMail resource and group. But, deleting a resource may have unintended consequences. For example, if you delete an MCT and there are still unprocessed messages for that MCT, the system will generate an error. Also, if you delete a truck ID, that truck’s history folder and all messages within that folder is deleted.

To avoid errors resulting from deleted resources, you should retire rather than delete TotalMail resources when they are no longer needed. Retired resources cannot be accessed by TotalMail users, e.g., a retired truck ID will not appear in the TotalMail Global Address Book.

You can retire these TotalMail resources:

  • Logins

  • Trucks

  • Trailers

  • Drivers

  • Truck MCTs

  • Trailer MCTs

  • Dispatch groups

  • Member groups

Retire a resource by using the Properties window

To retire a resource by using its Properties window:

  1. Select the folder for the resource or group to be retired.

  2. Highlight the resource or group to be retired.

  3. Select Properties.

  4. In the folder list of the Properties window, select the Settings folder.

  5. Select the . . . is retired checkbox.
    Note: The label of this checkbox is different for the type of resource selected. That means, the label Login is retired in the Login Properties window, Driver is retired in Driver Properties, and so on.

  6. Select OK to close the Properties window.

Retire a resource using the Delete window

When you attempt to delete a resource, the system will recommend that you instead retire the resource.

Options are:

  • Retire (recommended) Choose this option and Select OK to retire the resource.

  • Move messages and delete Move all folders and messages for the deleted resource to a different folder before the resource is deleted. The default destination folder is the Inbox of the Admin account. You can choose any folder, or create a new folder, in the Admin or Shared Folders areas.

    Notes:

    1. This option is only available when you attempt to delete a resource in the Truck Mobile Units, Trailer Mobile Units, or Dispatch folder.

    2. Enter Yes in the delete box. The OK button is then available.

  • Delete Delete the resource and all messages and folders for that resource.

    Note: Enter Yes in the delete box. The OK button is then available.

Delete a retired resource

When you delete a retired resource, the delete confirmation window will appear. If you are deleting a retired truck MCT, trailer MCT, or dispatch group, the Move messages and delete checkbox is available. The Delete checkbox is available for all resources.

Set internet email settings

Using the Email Agent, TotalMail can link into a standard SMTP/POP3 email system. The Email Agent will read the SMTP/POP3 configurations defined in TotalMail 2000 Configuration utility for resources and groups, and re-route email for the specified resources and groups to and from the specified mailbox.

You can specify internet email settings for these resources:

  • Logins

  • Trucks

  • Drivers

Specifying internet email settings is the same for all resources.

Open the form

  1. Select the folder for the resource or group.

  2. Highlight the resource or group.

  3. Select Properties.

  4. In the folder list of the Properties window, select the Email folder.

The content pane has these sections:

  • POP3 settings (MAPI Not Installed) contains settings for inbound messages.

  • SMTP settings contains settings for outbound messages.

Complete the form

  1. Enter information for the POP3 settings (MAPI Not Installed) section.

    1. Individual inbox This checkbox is selected by default, and cannot be unselected.

    2. Email Login Enter the login name of the POP3 account associated with the TotalMail resource.

    3. Email Password Enter the password for the account listed in the Email Login field.

    4. Handling of server copies This section determines whether messages are deleted from the POP3 server after they are sent to TotalMail. Options:

      • Default The default setting used in the Email Agent is used for handling server copies. The Email Agent’s default setting displays in this option.

      • Clean off server Messages are deleted from the POP3 server after being forwarded to TotalMail.

      • Leave a copy on the server Messages remain on the POP3 server after being forwarded to TotalMail.

  2. Enter information for the SMTP settings section.

    • SMTP Login Enter the login name of the SMTP account associated with the TotalMail resource.

    • SMTP Password Enter the password for the account listed in the SMTP Login field.

    • Reply Address Enter the email address that will receive replies to messages sent from this account
