Copying master orders in the Quick Copy Master Order window (2:04)

In Call On Demand Order Entry or in Oil Field Order Entry, you can create a template order that can be used for future orders. This is called a master order. You create orders from masters in the Quick Copy Master Order window.

Overview of the Dispatch Dashboard (12:48)

The Dispatch Dashboard shows which stores are most in need of deliveries in real time. You can verify deliveries, identify exceptions, resolve questionable fuel levels, and monitor site and tank statuses. A graphical display shows each store’s sales, reading levels, and time to retain/runout. You can focus on the stores in critical need instead of reviewing each store individually.

Profiles

Video

Description

Creating company profiles (3:20)

A company profile must be created for any business location where you can pick up, drop off, or send a bill.

Creating a commodity profile (1:09)

A commodity profile contains all data relevant to a particular product.

Create a commodity class (1:29)

Commodity classes allow you to group products with similar characteristics.

Specifying components and percentages of a splash blend (2:38)

A splash blend is a mix of different grades of fuel that creates a completely different commodity. Typically, the fuel is combined at the rack and added to a trailer’s tank during pickup. It is also possible to load two grades into a tanker that blend during transport.

Creating a driver profile (2:45)

When a new driver is hired, you must create a new profile in order to assign trips and assets to the driver.

This video demonstrates how to search for and retrieve orders using the order’s reference number.

Consolidate multiple orders (2:22)

This video demonstrates how to consolidate multiple orders into a single movement and a single invoice for a particular Bill To company.

Cancel a split trip (1:01)

Trips can be split into multiple segments for many reasons. This video demonstrates how to cancel a split trip segment and recombine segments.

Working with notes in Call On Demand Order Entry (3:34)

When you enter an order, you may need to record a note on the order or change an existing profile note. This video demonstrates how to review, enter, modify, and remove notes in Call On Demand Order Entry.

Updating and completing an order in Call On Demand Order Entry (1:36)

In this video you will see how to update and complete an order in Call On Demand Order Entry.

Changing a shipper or supplier on an existing order (2:27)

This video demonstrates how to change a shipper or supplier after they were already added to an order.

Recording a reference number (1:31)

This video demonstrates how to enter common reference numbers, such as those used for bills of lading and purchase orders.

Accessing profiles from Call On Demand Order Entry (2:15)

You can access profiles while creating or reviewing orders. This is useful when you discover changes that should be made right away. This video demonstrates how to access profiles from Call On Demand Order Entry.

Tank Service Exceptions (1:08)

This video demonstrates how to record service exceptions for each tank of a consignee on an order.

Driver Schedule

Video

Description

Creating a driver’s weekly schedule template (3:11)

It is common for companies to have a standard driver shift for each of their terminals. In Fuel Dispatch, you can set up shift templates based on the seven days of the week or on any specific number of days, such as a 10-day rotating schedule.

Creating a driver’s rotating schedule template (3:32)

It is common for companies to have a standard driver shift for each of their terminals. You can set up shift templates based on the seven days of the week or any specific number of days, such as a 10-day rotating schedule. You can set up one template per shift. If you have multiple terminals, you can use the same templates.

Switching a driver to a different template (4:16)

Sometimes, drivers switch from one shift to another. To change a driver’s default shift, you assign the driver to the schedule template for the new shift. Once the driver is assigned to the correct template, you must also generate the driver’s new schedule.

Managing a driver’s schedule (5:50)

On a regular basis, you will need to make changes to a driver’s schedule. In Fuel Dispatch, you can give a driver a schedule, mark a driver’s days off, record sick days, or correct time. Also, you can change an entire schedule, if it was generated incorrectly.

Retiring a schedule template (1:46)

As schedules and resources change, you may no longer need a certain schedule template. In Fuel Dispatch, you can identify schedule templates to retire.

Changing a template after generating driver schedules (2:06)

With resources and scheduling changes, you may need to alter a schedule template after a schedule has been generated. In Fuel Dispatch you can make changes to existing schedule templates even after a driver schedule has been generated instead of starting from scratch.

Changing multiple driver schedules for one terminal (1:34)

You may need to change schedules for multiple drivers associated with a terminal. The system allows you to change the schedules for all drivers associated with that terminal instead of editing each driver’s schedule individually.

Planning Worksheet

Video

Description

Planning Worksheet overview (3:08)

You can use both the Planning Worksheet and Card Planner to plan and dispatch trips. However, the Planning Worksheet allows you to plan and dispatch trips that span multiple days. You can also use it to work with more than 30 drivers.

Card Planner

Video

Description

Card Planner overview (2:39)

Card Planner enables you to see loads that need to be moved and the status of available resources for a particular shift. This video describes the Card Planner layout.

At any time, you can use the Card Planner’s Edit Shift Information window to add or change asset assignments. In this video, we show how to assign tractors and trailers in the Edit Shift Information window.

Using the Card Planner timeline (1:32)

This video demonstrates how to use the Card Planner timeline.

Assigning a different tractor or trailer using the Trips/Resources pane (2:33)

Adding color indicators for a driver’s login status (2:02)

This video demonstrates how to add a color indicator to a driver’s login status.

Working with Driver Hours of Service (3:27)

Department of Transportation Hours of Service regulations dictate how many hours a driver can work. Using the Driver Hours of Service feature, you can manage your driver’s hours and perform the 34-hour mandatory reset. If you are working in the Card Planner or in the Planning Worksheet, you use the Driver Hours of Service window to view a driver’s logged hours. In this video, we show you how to access the Driver Hours of Service feature, view a driver’s hours, and record a driver’s hours.

On-Demand Forecasting

Video

Description

Using on-demand forecasting (4:06)

When you change a delivery volume on a single order, the system will lock the volume on that order from any gallon change by the forecaster. The Retain and Runout times will update according to the gallons specified on the order. The Forecaster adjusts the times for the rest of the store’s available orders. This is a crucial and highly effective tool for fuel suppliers that service forecasted locations.
