Integration options: Comdata

TMT Fleet Maintenance interfaces with the Comdata V-Card. This one-time use MasterCard can be used to pay for Road Call Vendor Repair Orders, Road Purchase Orders, Vendor Repair Orders, and Vendor Purchase Orders.

This section contains Comdata integration options. Changes made to these options affect how TMT Fleet Maintenance interacts with third-party applications.

If you make incorrect changes to these options, you may alter how the system integrates with that application. Trimble recommends that you contact your system administrator before making changes.

To open the Integration Options page, go to Menu > Setup > Options > Integration Options.

An asterisk (*) marks required fields.

All of these options apply to TMT Fleet Maintenance

Comdata

This option must be completed for the interface to operate.

ComData

Description

Shows the name of the integration, such as TMW AMS ComData.

*Comdata Web Service (URL)

Description

Controls the lowest level (basic) options for the Comdata interface.

Options

The address of the Comdata web service. The default address should be the correct address and should not have to be changed.

*User Name

Description

The user name, provided by Comdata.

Enter the user name.

*Password

Description

The password, provided by Comdata.

*Min Check Amount

Description

Sets a minimum amount that an E-Check can be issued for.

Options

Enter a minimum amount in whole numbers with no other punctuation, such as 10. Do not enter something such as $10.00.

*Max Check Amount

Description

Sets a maximum amount that an E-Check can be issued for.

Options

Enter a maximum amount in whole numbers with no other punctuation, such as 2000. Do not enter something such as $2,000.00.

*Number of Virtual Card Uses

Description

Sets a limit on the number of times a virtual card (V-Card) can be used.

Options

Enter a whole number with no other punctuation, such as 20.

*Virtual Card Valid Days

Description

Sets a limit on the number of days a V-Card can be used.

Options

Enter a whole number with no other punctuation, such as 31.

Require Card Amount to Exactly Match Requested Amount

Description

If set to YES, the amount the user requests must be the same as the amount of the card.

Options

  • NO (default)
    The amount the user requests does not need to be the same as the amount of the card.

  • YES
    The amount the user requests must be the same as the amount of the card.

Comdata: BASIC
Use Shop Level Comdata Accounts

Description

Lets you set users to specific shops. The currency associated with the shop will then be passed in the request.

Options

  • NO (default)
    The program does not use shop level Comdata accounts.

  • YES
    The program does use shop level Comdata accounts. You can then map users to specific shops using the Comdata: SHOP options.

Additional notes

If this option is set to NO, you cannot set the Comdata SHOP options.

Comdata: BASIC
Test Mode

Description

Lets you set whether your Comdata integration is in testing mode.

Options

  • NO (default)
    The Comdata integration is not in testing mode. It is active.

  • YES
    TMT Web Services simulates integrating with Comdata but doesn’t actually connect. Use this mode for testing only.

Additional notes

When you have finished testing the Comdata settings, you should set this option back to NO.

Description

Lets you select the user for the E-Check options.

Options

Select a user from the dropdown list. The users available depend on your setup.

E-Check Enabled

Description

Controls the E-Check options for the Comdata interface.

Options

  • NO (default)
    The Comdata interface does not use E-Check.

  • YES
    The Comdata interface does use E-Check.

Additional notes

If this option is set to NO, you cannot set any of the other E-Check options.

*User Name

Description

The user name provided by Comdata. The program uses this information to connect to Comdata.

Description

The security information for the Comdata user.

The program completes this field automatically based on the user name you entered.

Send Vendor Name

Description

Controls whether the integration sends the vendor’s name instead of the user’s name when issuing an E-Check.

    The Comdata interface does not send the vendor’s name. It sends the user’s name instead.

    The Comdata interface does send the vendor’s name instead of the user’s name.

Description

The E-Check account code for your integration.

Enter the account code provided by Comdata.

Max Cost Per Transaction

Description

Sets the maximum amount the selected user can spend per transaction.

Options

Enter whole numbers with no commas or periods, such as 5000.

Sets the maximum amount the selected user can spend per day.

Enter whole numbers with no commas or periods, such as 10000.

Only Allow Comdata Request on Invoice Entry

Description

Sets whether users can request Comdata after an invoice has been entered.

Options

  • NO (default)
    Users can make a Comdata request after an order after an invoice has been entered.

  • YES
    Users cannot make a Comdata request after an invoice has been entered. Users can only make a Comdata request when entering the invoice for the first time.

Additional notes

If you set this option to YES, you can then edit the Require the Invoice Order Total to Match the Request option.

Comdata: USER
Require the Invoice Order Total to Match the Request

Description

Sets whether the Invoice Order Total must match the Request amount.

Options

  • NO (default)
    The Invoice Order Total does not have to match the Request amount.

  • YES (default)
    The Invoice Order Total must match the Request amount. The dollar amounts must match before you can close the invoice.

Additional notes

You can only edit this option when Only Allow Comdata Request on Invoice Entry is set to YES.

Assigned Shop

Description

Sets the shops where the user can purchase items.

Options

Select the shops from the available list. The shops available depend on your setup.

Additional notes

If you do not select any shops, the user cannot purchase anything.

Do Not Allow Comdata Request on Closed Orders
First available in V.2023.2

Description

Controls whether users can generate Comdata requests after an order is closed.

Options

  • NO (default)
    Users can make a Comdata request after an order is closed.

  • YES
    Users cannot make a Comdata request after an order is closed. When this option is set to YES, the Request Credit Card button is turned off if the order status is canceled or closed.

Additional notes

This option applies to vendor repair orders and purchase orders.

Description

Lets you select the region for the virtual card (V-Card) options.

Options

Select a region from the dropdown list. The regions available depend on your setup.
