Using Inventory Services features in Fuel Dispatch

Fuel Dispatch and Inventory Services are modules in TMW’s FuelTMS suite of applications. They work with the Forecaster module, which uses the data entered for a store in Inventory Services to determine when it needs product deliveries. The Forecaster generates orders that become available for dispatch in Fuel Dispatch. When you are licensed for Inventory Services, additional functionality is available in Fuel Dispatch.

Credit Hold Status feature

Allows you to assign credit ratings to Bill To companies. System code statuses are OK, Warn, and Prevent. You can set up the system to check credit status before allowing orders to be saved in Call On Demand Order Entry.

  • If the Bill To has a status of OK, the order is saved.

  • If the Bill To has a status of Prevent, the order is not saved.

  • If the Bill To has a status of Warn, an authorized user can enter an override and save the order.

The Credit Hold Status feature is also available when orders are created via the Web or IVR order entry. However, the system does not allow the override of a Warn status when working with orders created using either of these methods.

Enter and edit a store’s tank readings

Accurate tank readings are key to having the Forecaster accurately predict a store’s need for orders. If a reading is flagged as questionable, you can contact the store to determine its validity. If the reading is incorrect, you can edit it.

Readings can be reviewed and edited in three Fuel Dispatch windows:

  • The Quick Reading Entry window
    The Quick Reading Entry window let you retrieve, update, and save tank readings for a single store. Alternatively, you can retrieve multiple stores, update tank readings for all of them, and then save each store’s readings individually.

  • The Forecast Order Site Review window
    The Forecast Order Review window lets you retrieve a specific stores to review and edit its tank readings.

  • The Forecast Order Review window
    The Forecast Order Review window lets you retrieve all the stores linked to a specific terminal. You can select a specific store to review and edit its tank readings.

Review forecasted orders

You can review a store’s forecasted orders. If the quantities and dates/times are appropriate, you can lock the order so that the forecaster will not update it the next time it runs. You can lock just the quantities, or both the quantities and the dates/times. Orders that have been reviewed can be flagged as ready for dispatch.

Forecasted orders can be reviewed in two Fuel Dispatch windows:

  • The Forecast Order Review window lets you retrieve all the stores linked to a specific terminal. You can select a specific store to review the orders the Forecaster has created for it.

  • The Forecast Order Site Review window lets you retrieve a specific store to review orders the Forecaster has created for it.
