Payroll

The TruckMate Payroll module encompasses several main programs within TruckMate. Below will follow a brief explanation of what the functions of each of these programs are:

  • The ADP Payroll Export program exports payroll information from a text (.TXT) or spreadsheet (.CSV) file to an ADP system for processing. The program functions in the form of a Wizard, taking you through the process step-by-step.

  • The ADP Payroll Export program works closely with the Payroll Returns Generator program (which creates the .CSV files) and the Company Profiles program (where the ADP system number is configured).

  • The Check Printing program is used to print the checks configured in the Accounts Payable Inquiry program.

  • The Check Register program is used to post checks that have been printed through the Check Printing and Instant Check programs. The posting process generates entries in the GL Journal Entries program. The register also updates the status of affected invoices in the A/P Inquiry program and the status of pay and deduction entries in the Driver Pay Audit program (in the case of driver deductions).

  • The Direct Deposit program is used to create export files for automatic payroll deposits for banks such as: Royal Bank of Canada, Toronto Dominion Bank, Bank of Montreal, Automated Clearing House, and the Bank of Nova Scotia. Also, the program can be used to create automatic deposits for drivers who are not paid through the TruckMate payroll module. Employee and driver records must be configured in order for them to be included in automatic deposits.

  • The Employee Profiles program (also accessible from the Profiles module) defines Payroll information for each Employee. Some of this information, such as the data entered on the Pay Information and Deductions Tabs, is used for payroll calculations performed by the Payroll Time Sheets and Payroll Processing programs. Other information, such as the information entered on the Holidays Tab, is used for reference and reporting only.

  • The Payroll and Returns Generator program generates Payroll data and in some cases allows you to submit this information electronically (magnetic media filing) to Canadian and US tax agencies. The forms available are T4’s, 1099’s, W2’s, 940/941’s and RL1’s. You can also print hard copy payroll reports using this program.

  • The Payroll Configuration program is used to configure different codes and rates used in the Payroll module and to configure standards for payroll processing based on your company’s requirements and government payroll regulations. In this way, there is one general area of determining pay standards for your company, as well as flexibility to adapt to ever-changing payroll rules for both U.S. and Canadian payroll.

  • The Payroll GL Register is used to review entries made in the Payroll Time Sheets program and to create summary GL entries for the payroll expense accounts referenced by the payroll codes used in the time sheet entries. This step is necessary in order to post the expenses into the payroll payables account on the given payroll processing date.

  • The Payroll GL Register program is also used to print payroll reports, and to generate payroll Checks. The source of the payroll entries is the Payroll Time Sheets program. After you create the checks, they can be viewed and printed in the Check Maintenance and Instant Checks program. Note that the Payroll GL Register program does not create general ledger postings. These are created when the A/P Check Register program updates the payroll checks.

  • The Payroll Processing program is used to review entries made in the payroll Payroll Time Sheets program, to print payroll reports, and to generate payroll checks. The source of the payroll entries is the payroll Payroll Time Sheets program. After you create the checks, they can be viewed and printed in the Check Printing program and Instant Checks program.

  • The Payroll Timeclock program is a tool to automate updating the employee hours into the existing TruckMate Payroll feature. It allows administrators to setup the prescribed rules and static shifts and will analyze your employee’s work to highlight exceptions.

  • The Test US Tax program allows an employer total control over the details of their employee taxation, from Federal down to Municipal government taxation levels. Working in concert with DLL files provided by Symmetry Software, the Test US Tax program can produce tax breakdowns for any of your employees, based on all applicable tax profiles, and allows you to stay up to date with current taxation changes without any strenuous research.

  • The payroll Payroll Time Sheets program is used to generate pay records based on the setup in the Payroll Setup program and the Employee Data program. Also, payroll records generated by the Driver Statements program are displayed in the Payroll Time Sheets program. Both pay and deductions are entered in the Payroll Time Sheets program. After generating payroll pay and deduction entries, the entries are updated and check records are generated using the Payroll Register program.
