Imaging

Imaging refers to an electronic document management system enabling you to capture, classify, find, and share documents in the form of scanned images of hardcopies and computer-generated files to replace most paper document handling.

The Imaging screen is divided into three sections:

Menu to select the imaging settings for the imaging vendor your company uses.

Imaging Setup

Contains the various imaging setup tabs used to configure the specific settings for the selected imaging vendor.

TruckMate program access grid

Used to configure which TruckMate applications will have access to this vendor’s imaging functionality.

Now you can take paper-based information and convert it into digital data. An 'image' is simply an electronic snapshot of a piece of paper taken by a mobile device, smartphone or scanner, or transmitted via fax. TruckMate users can scan in a Bill of Lading, completed medical form, equipment inspection form, trace number, or a customer contract, or any other documentation. Storing electronic images instead of paper eliminates the high cost of file storage fees and the staff required to locate these files and documents. TruckMate imaging integrations allow you to scan and index these documents for quick and easy retrieval on a PC. Images provide viewing of document details directly from your computer screen and with intelligent technologies such as Optical Character Recognition (OCR) where systems can glean information directly from the document and make it available as normal text.

A license key (Imaging - 13000) is required to integrate any document imaging software with the TruckMate system. See License Registration for more information.

You must install third-party document imaging software from a supported vendor.

Once the imaging vendor and document types are configured, you can access the documents and images using a right-click within specific areas on the TruckMate programs. For example, a right-click in the Customer Service header can display a View images via [your imaging vendor] shortcut menu option to access and view document images.

Selecting a document will display the document or open an imaging vendor portal interface where you can view the document or convert it to a PDF file. (The exact interface and features will depend on which imaging vendor you are using).

For example, using TMW Cloud Imaging would open a web interface similar to the following.

To set up TruckMate for document imaging, use the Codes Maintenance program > Imaging tab. Select your 'Imaging Vendor' and configure all the fields required to establish contact with their Imaging Server.

You can purchase TMW-Synergize by Microdea and TMW Imaging from your Trimble TruckMate Systems Customer Service representative.

Depending on your setup in the Codes Maintenance program > Imaging tab, and the program you are currently in, you’ll see prompts that will take you through the rest of the process.
