EDI overview

There are several programs included in the TruckMate system for EDI (Electronic Data Interchange) functions: the EDI Audit program, the EDI Client Cross reference, the EDI Communication Manager program, and the Order PreProcessor program.

  • The EDI Audit program allows you to change status messages which have been placed on HOLD (See EDI Communication Manager) prior to releasing the information to your trading partner (customer / vendor). If the EDI Communication Manager program is running, information will only appear for a short time before it is processed and removed from the EDI Audit program. If you have any status codes in the EDI Communication Manager set to other than Hold = 'Never', you will need to use and monitor the optional EDI Audit program.

  • Under normal circumstances, status updates flow freely from the order update through the EDI system to your trading partner. In some cases, such as late deliveries, or OSD issues, it may be desirable to verify the issue and usage of proper EDI codes prior to releasing the status update to your trading partner. Once the auditor is satisfied with the information’s accuracy, the 'hold' is released. The only way to release a held message is through the use of the EDI Audit program.

  • The EDI Client Cross Reference program is a utility for setting up cross references that will tie a specific EDI Trading Partner to their various customer locations using a Client Profile > Client ID in TruckMate to identify and tie a specific EDI Trading Partner to a Client ID to use as the Shipper or Consignee in the TruckMate system.

  • The EDI Communication Manager program maintains trading partner profiles, controls the flow of incoming and outgoing electronic communication, and processes EDI transactions. Specifically, the EDI Communication Manager program allows you to receive load tenders for acceptance and/or rejection, as well as send out freight invoices, shipment status messages, and equipment location information, to trading partners and shippers. EDI stands for Electronic Data Interchange, or if you will, an exchange of data.

The EDI Communication Manager program processes four major types of electronically transmitted communication types, and one sub-type of EDI.

  • When a load offer first comes in, it goes into the Order Preprocessor program, which acts as a holding area for these orders. This program would most often be used by your Customer Service and Dispatch personnel, so as loads come in, your personnel can go into the Order Preprocessor program and accept/reject the load offer, as well as make any necessary modifications to the accepted order before it is transferred to the EDI Communication Manager program, and from there to the Customer Service program.

The Dispatch > eManifest program is used to generate electronic manifests for the Canadian Border Protection Agency’s 'ACE' US border crossing requirements.
