Configuring the Freight Agent Order Entry page

Agents create, review, and edit orders on the Freight Agent Order Entry page. You can configure the functionality of this page as follows:

Specifying the rate confirmation report template

When agents assign a carrier to an order on the Freight Agent Order Entry page, they can click the Rate Confirm button to view a rate confirmation report. The report can be printed and/or saved.

This functionality is available if both of the following are true:

The rate confirmation report template must:

  • Be a single-parameter report

  • Use the lgh_number (leg number parameter

A two-parameter report does not work. If you have questions, contact your Trimble Service representative.

To specify the report template, follow these steps:

  1. Go to Menu > Configuration > Settings Manager.
    The Settings Manager page opens.

  2. Do one of the following:

    • If you want the setting change to apply to all roles, verify the Role field is set to [Global Settings].

    • If you want the setting change to apply to a specific role, select it in the Role field.

      A message asks you to verify that you want to change the role. Click OK to continue.

      Note: If the setting has already been changed for at least one role, its text label is bold and italic.

  3. On the Modules tab, in the Module Selection field, select Agent.

  4. Click the Order Entry tab.

  5. In the Rate Confirmation Report section, select the rate confirmation template you want to use in the Report field.

  6. Click Save.
    A message appears at the top of the page, stating your settings were saved successfully. If you are making changes for a specific role and this is the first time the setting has been changed for any role, the text label style changes to bold and italic.

    If you do not want to save, click Revert. The application cancels any unsaved changes and reverts to the last saved settings.

Recording the agent’s TMWSuite ID in the Booked By field

When an order is created, the system records the creator’s TMWSuite ID. This value appears in multiple places in your dispatch system.

In TMWSuite, it appears in the Bk’d By field in:

  • The Order Entry window

  • The Trip Folder’s Order Header Information window

  • The Invoicing application’s Additional Invoice Header Information window

In TMW Operations, it appears in the Order Maintenance window’s Booked By field.

By default, an order created on the Freight Agent Order Entry page contains the TMWSuite ID provided when Trimble Web Products was installed. This ID, also known as the TTS user name, is located in Settings Manager under General > TMWSuite. In the agent’s user profile, you have the option of specifying a TMWSuite ID. To override the default ID with the agent’s ID on the orders they create, follow these steps:

  1. Go to Menu > Configuration > Settings Manager.
    The Settings Manager page opens.

  2. Do one of the following:

    • If you want the setting change to apply to all roles, verify the Role field is set to [Global Settings].

    • If you want the setting change to apply to a specific role, select it in the Role field.

      A message asks you to verify that you want to change the role. Click OK to continue.

      Note: If the setting has already been changed for at least one role, its text label is bold and italic.

  3. On the Modules tab, in the Module Selection field, select Agent.

  4. Click the Order Entry tab.

  5. In the Order Entry Settings section, select the Override Booked By Setting With User’s Dispatch ID check box.

  6. Click Save.
    A message appears at the top of the page, stating your settings were saved successfully. If you are making changes for a specific role and this is the first time the setting has been changed for any role, the text label style changes to bold and italic.

    If you do not want to save, click Revert. The application cancels any unsaved changes and reverts to the last saved settings.

Preventing changes to an order’s RevType1 value

Your system may be set up to use predefined RevType1 values during order entry. To prevent an agent from making changes to the RevType1 field value, follow these steps:

  1. Go to Menu > Configuration > Settings Manager.
    The Settings Manager page opens.

  2. Do one of the following:

    • If you want the setting change to apply to all roles, verify the Role field is set to [Global Settings].

    • If you want the setting change to apply to a specific role, select it in the Role field.

      A message asks you to verify that you want to change the role. Click OK to continue.

      Note: If the setting has already been changed for at least one role, its text label is bold and italic.

  3. On the Modules tab, in the Module Selection field, select Agent.

  4. Click the Order Entry tab.

  5. In the Order Entry Settings section, select the Prevent Changes to RevType1 check box.

  6. Click Save.
    A message appears at the top of the page, stating your settings were saved successfully. If you are making changes for a specific role and this is the first time the setting has been changed for any role, the text label style changes to bold and italic.

    If you do not want to save, click Revert. The application cancels any unsaved changes and reverts to the last saved settings.

Setting up the Profit and Loss tab

An agent can record invoice charges for an order on the Profit and Loss tab. By default, all of the charge types that exist in the TMWSuite database are available in the Charge Item field on this tab. To restrict the number of charge types that appear in this field, follow these steps:

  1. Go to Menu > Configuration > Settings Manager.
    The Settings Manager page opens.

  2. Do one of the following:

    • If you want the setting change to apply to all roles, verify the Role field is set to [Global Settings].

    • If you want the setting change to apply to a specific role, select it in the Role field.

      A message asks you to verify that you want to change the role. Click OK to continue.

      Note: If the setting has already been changed for at least one role, its text label is bold and italic.

  3. On the Modules tab, in the Module Selection field, select Agent.

  4. Click the Order Entry tab.

  5. In the Order Entry Settings section, in the Restrict Charge Types To field, enter the charge type codes as a comma-delimited list (for example, LHF,LHW).

  6. Click Save.
    A message appears at the top of the page, stating your settings were saved successfully. If you are making changes for a specific role and this is the first time the setting has been changed for any role, the text label style changes to bold and italic.

    If you do not want to save, click Revert. The application cancels any unsaved changes and reverts to the last saved settings.

Setting up the Pay tab

You can allow agents to record pay details for an order. To do this, you must enable the Pay tab on the Freight Agent Order Entry window. By default, all of the pay types that exist in the TMWSuite database are available in the Pay Detail field on this tab. You can restrict the number of pay types that appear in this field.

  1. Go to Menu > Configuration > Settings Manager.
    The Settings Manager page opens.

  2. Do one of the following:

    • If you want the setting change to apply to all roles, verify the Role field is set to [Global Settings].

    • If you want the setting change to apply to a specific role, select it in the Role field.

      A message asks you to verify that you want to change the role. Click OK to continue.

      Note: If the setting has already been changed for at least one role, its text label is bold and italic.

  3. On the Modules tab, in the Module Selection field, select Agent.

  4. Click the Order Entry tab.

  5. In the Order Entry Settings section, do the following:

    1. Select the Use Pay Tab check box. This enables the Pay tab.

    2. If needed, in the Restrict Pay Types To field, enter the pay type item codes as a comma-delimited list (for example, HR,TSM).

  6. Click Save.
    A message appears at the top of the page, stating your settings were saved successfully. If you are making changes for a specific role and this is the first time the setting has been changed for any role, the text label style changes to bold and italic.

    If you do not want to save, click Revert. The application cancels any unsaved changes and reverts to the last saved settings.
