Detention tracking overview

You can track the amount of time a driver spends at a stop before departing. If the time exceeds a certain number of minutes, or tolerance, the system can send alerts warning that a detention situation is imminent (yellow alert) or present (red alert).

Alert indicators appear in the Trip Folder’s Stops tab. When the arrival at the stop has not been actualized, the indicator is gray.

When the driver’s arrival has been actualized, the indicator color changes to green if no detention is detected.

If the driver’s stay exceeds the yellow alert tolerance defined for the stop, the indicator color changes to yellow. Also, if your system is set up to use TotalMail notifications, a message is sent to one or more contacts. It tells them that the driver will soon be in a detention situation.

If the driver’s stay exceeds the red alert tolerance defined for the stop, the indicator color changes to red. At this point, the driver is in a detention situation.

Once the departure has been actualized, or the driver sends a TotalMail form notifying contacts of the departure, the indicator color returns to gray.

How the system determines a stop’s alert tolerance

You can record separate pickup and delivery tolerances for yellow and red alerts in a company’s profile. You can also specify global tolerances in the General Information Table.

The system looks for and uses tolerances in the following locations in this order.

Yellow alert

  1. The Minutes to Alert fields for the order’s Bill To company, as defined in the Stop Info/Routing tab of the company profile

  2. The Minutes to Alert fields for the order’s stop company, as defined in the Stop Info/Routing tab of the company profile

  3. The values in the following General Info Table settings:

Red alert

  1. The Minutes to Detention fields for the order’s Bill To company, as defined in the Stop Info/Routing tab of the company profile
